Personal Data in the Application Process
Personal data refers to information about the personal or factual circumstances of an identified or identifiable natural person. This includes information such as your name, address, phone number, and date of birth, as well as data about your career path, etc., which can be attributed to a specific person with reasonable effort. Information that cannot be (directly or indirectly) linked to your real identity is not considered personal data.
Basis and Purposes for Processing Personal Data in Applications and the Application Process
If you apply to us electronically, i.e., via email or through our web form, we collect and process your personal data for the purpose of managing the application process and carrying out pre-contractual measures.
By submitting an application on our recruiting site, you express your interest in pursuing employment with us. In doing so, you provide us with personal data, which we use and store exclusively for the purpose of your job search/application.
The following data is collected in particular:
- Name (first and last name)
- Email address
- How you became aware of us
You also have the option to upload relevant documents such as a cover letter, resume, and certificates, which may contain additional personal data such as your date of birth, address, etc.
Only authorized personnel or staff involved in the application process have access to your data.
The personal data is generally stored exclusively for the purpose of filling the vacant position for which you have applied.
Your data will be stored for 90 days after the conclusion of the application process, usually to fulfill legal obligations or defend against potential claims arising from legal provisions. Afterward, we are obligated to delete or anonymize your data. In such a case, the data will only be available to us as metadata without direct personal references for statistical analysis (e.g., the percentage of male or female applicants, the number of applications per period, etc.).
Furthermore, we reserve the right to store your data for up to one year after the conclusion of the application process in our "Talent Pool" to identify other potential job opportunities for you. This also applies to applications for apprenticeships or internships. By accepting the privacy policy, you consent to the potential extended storage of your data and inclusion in our "Talent Pool."
If you receive and accept an offer of employment from us during the application process, we will store the personal data collected during the application process for at least the duration of your employment.
Transfer of Data to Third Parties
The data submitted during your application is transmitted via TLS encryption and stored in a database. This database is operated by Personio GmbH, which provides personnel management and applicant management software (https://www.personio.de/impressum/). In this context, Personio is our data processor under Article 28 of the GDPR. The basis for processing is a data processing agreement between us as the responsible entity and Personio.
Rights of Data Subjects
If we process personal data, you, as the data subject, have certain rights under Chapter III of the EU General Data Protection Regulation (GDPR), depending on the legal basis and purpose of the processing. These rights may include, in particular, the right to access (Article 15 GDPR), the right to rectification (Article 16 GDPR), the right to erasure (Article 17 GDPR), the right to restrict processing (Article 18 GDPR), the right to data portability (Article 20 GDPR), and the right to object (Article 21 GDPR).
If the processing of personal data is based on your consent, you have the right to withdraw your consent at any time under Article 7 III of the GDPR.
To exercise your rights regarding the data processed in this online application process, please contact our Data Protection Officer (see section 2).
